What to look for when buying a copier.

Buying a copier for your office can increase productivity. The convenience of copying in your office rather than driving to a copy shop is reason enough to buy one. Due to their decreasing costs, buying a copier has become a very cost effective office solution. Newer desktop copiers give you the option of combining copying, printing, and scanning functions, creating a single tool that will increase productivity in multiple areas. Below are some key factors in deciding what copier is best for your office.

If you are producing promotional tools or professional reports in your office, color copying is a must in your office. The problem with color copiers is they are slower and more expensive. A cost effective black and white copier may be more appropriate for certain areas in your office if you are printing documents for office use only. If you choose to buy a color copier, Inkjet digital copiers tend to be less expensive than laser color copiers.

Many smaller copiers aren't designed for heavy volume so it is suggested that you review the copier's recommended monthly usage. Additionally you should make sure that if you use a copier with a cartridge that the cartridge will not be replaced too often. If you plan on having a large copying volume, you may be better off with a larger copier that is designed to cope with heavy loads.

Nothing can be worse then wasting your time refilling a copier tray with paper. You will need a copier with a paper capacity of at least 200 sheets and an automatic document feeder that holds at least 25 sheets. Another important factor is that your copier be able to handle a variety of paper sizes and weights and other types of media. If you are copying from books or copying other objects that won't fit through a sheet feeder make sure that your copier offers flatbed copying.

No warm up time is ideal for small office copiers enabling them to sit idle for hours or days. Nothing is worse then waiting 5 minutes to get a copy just because no one had used the machine in the last hour. Warm up time can be real drain on productivity.
